Register and politeness: calibrating distance, burden and voice
CEFR C1
What you will learn
- Choose a level of directness from relationship, setting, burden, channel and regional convention rather than from one universal politeness scale.
- Use imperfect, conditional, subjunctive and address forms to soften or reposition requests without stacking unnecessary formulas.
- Mitigate disagreement by acknowledging, limiting or reformulating a claim while keeping the proposition precise.
The idea
A form is not polite in isolation. Speakers weigh social distance, relative roles, the burden of the request, the channel, the setting and local convention. A short present-tense request may be cooperative in a routine service encounter, while the same shape can sound abrupt in a formal email about a substantial favour. Advanced control means choosing enough mitigation and then stopping. Repeating por favor, adding several apologies and combining every conditional formula can create distance, irony or pressure instead of warmth.
Directness depends on the relationship, the burden of the request, the channel and the local distribution of tú, vos, usted, vosotros and ustedes. No single tense or address form is automatically the most respectful choice in every Spanish-speaking setting.
Mitigation can use a question, an imperfect or conditional frame, a reason, partial agreement or a limited apology. Combine only the resources the situation needs: stacking every polite formula can obscure the request or create unwanted distance.
Complete imperfect of querer as temporal displacement
| person | form |
|---|---|
| yo | quería |
| tú | querías |
| él / ella / usted | quería |
| nosotros / nosotras | queríamos |
| vosotros / vosotras | queríais |
| ellos / ellas / ustedes | querían |
In a request opening, the imperfect can move the speaker away from a blunt present claim: “quería consultarle una cuestión”. Context can still make it genuinely past.
Complete conditional of poder for a possibility request
| person | form |
|---|---|
| yo | podría |
| tú | podrías |
| él / ella / usted | podría |
| nosotros / nosotras | podríamos |
| vosotros / vosotras | podríais |
| ellos / ellas / ustedes | podrían |
The conditional frames compliance as a possibility rather than assuming it. It does not by itself determine whether the address is tú or usted. When pronouns attach to a following infinitive, preserve its stress with a written accent when required: mostrar + se + lo becomes mostrárselo.
Complete imperfect subjunctive of querer in conventional softening
| person | -ra series | -se series |
|---|---|---|
| yo | quisiera | quisiese |
| tú | quisieras | quisieses |
| él / ella / usted | quisiera | quisiese |
| nosotros / nosotras | quisiéramos | quisiésemos |
| vosotros / vosotras | quisierais | quisieseis |
| ellos / ellas / ustedes | quisieran | quisiesen |
Quisiera is conventional in requests and preferences, especially in formal or transactional settings. Its naturalness varies by genre and community; it is neither universally excessive nor universally neutral.
How it sounds
- ¿Podría remitirme el anexo firmado antes del jueves? Muchas gracias.Name the exact attachment; do not hide the task behind a vague courtesy formula. Use a possibility request because the relationship is distant. State the deadline as information, not as an afterthought. Close with one concise acknowledgement.

Your turn
Two or three, to check that the bit above landed.
In the pictured routine café transaction in Spain, use the present indicative and one courtesy marker: ¿Me ___ la cuenta, por favor? (traer, tú)
traes — The interaction is routine, spoken and low-burden. The requested frame explicitly requires tú present indicative: traes. The courtesy marker is already present once.
The signed version has just been mentioned. Complete the two-word span with usted conditional poder plus the infinitive carrying both pronouns: ¿___ antes del jueves, por favor? (poder + enviar + me + la)
Podría enviármela — Usted takes third-person morphology, so the conditional is Podría. The infinitive carries the recipient and feminine direct-object pronouns in the supplied order: enviar + me + la becomes enviármela, with the written accent preserving stress.
Mitigate disagreement by rejecting only one interpretation. Complete with present subjunctive: No digo que la propuesta ___ mal; digo que falta justificar el plazo. (estar)
esté — No digo que rejects attribution of that proposition and selects the present subjunctive. The speaker then states the narrower objection explicitly.
What your own language pushes you to say
Wrong Perdone, por favor, si no le importa, ¿sería tan amable de quizá mandarme el archivo, por favor?
Right ¿Podría enviarme el archivo antes del jueves, por favor?
The revised request identifies the action and deadline, uses one mitigation strategy and keeps one courtesy marker. It is easier to act on and does not pressure the reader through excessive ritual.
